County Counsel is seeking applications for a skilled
Executive Administrative Assistant to join their team. The existing vacancy is in the
Litigation Unit. The positionwill perform a variety of legal assistant duties, providing litigation and administrative support services to attorneys and paralegals in the Office of County Counsel. The incumbent will prepare and file legal documents such as pleadings, briefs, and motions, in State and Federal courts in civil litigation proceedings; ensure compliance with court rules, regulations, and proceedings; draft, proofread, and format legal documents and correspondence; maintain case files; coordinate and schedule mediations, depositions and other meetings; communicate with clients, court personnel, and case-related contacts; track and maintain litigation calendars and deadlines; make travel arrangements; and perform other general office duties.

CONDITIONS OF EMPLOYMENT Pre-Employment Process: Prior to appointment, applicants must pass a background investigation which includes verification of employment history and education, fingerprinting, physical exam, and drug screening.

Minimum RequirementsTwo (2) years of
recent full-time experience as an administrative assistant, providing support to professional or administrative staff. Duties must have included calendaring, scheduling meetings, drafting correspondence, and maintaining files and records. At least one (1) year of this experience must involve preparing and processing federal and/or state court legal documents, such as pleadings, briefs, and motions, under an attorney's supervision in a law firm setting .
Experience must be within the past five (5) years NOTE: Duties must be clearly described in the work history section to be considered and appropriately placed for assigned duties within County Counsel. General Clerical experience, Internships, and Clerkships are not considered qualifying work experience. Qualifying experience is typically equivalent to the San Bernardino County Administrative Assistant classification and above.
Desired QualificationsThe ideal candidate will have experience supporting attorneys in a legal office, preparing and processing confidential records and legal documents such as pleadings, briefs, and motions. The candidate should also be skilled in managing multiple calendars and assignments from multiple attorneys while working in a fast-paced environment. Candidates with experience supporting civil litigation attorneys as a legal assistant are highly desired.
