Fiduciary Accounts Specialist (Part-Time) - Public Fiduciary (Prescott)
Description
RoleThis is a Part-Time position approximately 18 hours per weekUnder minimal supervision, provides the financial management and operation of the organization through maintenance of accounting records and reports. Responsible for assuring annual accountings are filed on wards of the office in conjunction with Court standards, statutory requirements, and professional fiduciary standards.
Major Duties, Responsibilities- Provides the daily accounting operations for the office, which includes monitoring bank accounts: assuring accuracy of documentation, investigating questionable/unclear transactions: Sets up and prepares monthly and ongoing checks and enters data on office accounting software as required. Assures bills and payments are made promptly and monitors office petty cash fund.
- Prepares annual and final accountings to be filed with the Court for all cases and communicates with the Court as to requirements for accountings. Assures accountings are accurate and in compliance with statutory requirements. Prepares and files on a monthly basis a report to Finance regarding the collection of fees. Communicates with Finance and assists in office audits.
- Performs bank reconciliation on group account and individual accounts on a monthly basis exercising considerable initiative in following up and assuring office accountability. Recommends and makes bank transfers and deposits as appropriate, in consultation with the Public Fiduciary.
- Makes application, prepares direct deposit forms and monitors Social Security, SSI, and Pension income of wards. Notifies SS/Pension plan of changes as appropriate. Prepares and submits Social Security Rep Payee report as required.
- Prepares yearly taxes for clients or in complex cases prepares information for submission to contracted Tax Accountant.
- Prepares letters to creditors of clients and decedents, reviews bills, and notifies supervisor of problems or concerns.
- Performs other job-related duties as assigned.
Minimum QualificationsEducation: Associate’s Degree in Accounting or related field.
Experience:A minimum of three (3) years of relevant experience in accounts payable and with general accounting practices. An equivalent combination of directly related work experience and education may substitute for the degree requirement on a year-per-year basis.
Additional Requirements:Must possess a valid Arizona driver’s license.

- Prepare all reports within the prescribed timeframe.
- Keep all office and individual ledger accounts current and in balance daily with zero errors.
- Maintain complete and well-organized records for the office.
- Provide assistance and advisement to management with accounting related activities.
- Develop and maintain effective working relationships with associates, employees of other departments, representatives of other organizations, County officials, and the public.
- Keep management informed of key operating issues affecting the department.
- Remain current in knowledge required to perform assigned duties.
- Handle confidential matters and maintain discretion always.
- Act with courtesy, tact, and diplomacy.
Work Environment:The work environment is associated with an office. The work area is adequately lighted, heated or cooled and ventilated.
Physical Requirements:Ability to sit or stand for extended periods of time. Sufficient vision to read printed materials and a computer screen; hearing and speech ability to communicate effective in-person and telephonically. Capable of frequent repetitive movement of arms, fingers, and wrists. Ability to lift up to 30 pounds.
