An Office Assistant is available with the City of Fort Worth Water Department/Management Services Division. This role is essential in providing administrative support by delivering professional, responsive, and efficient service to a diverse range of individuals, including city employees at all levels and the general public. The Office Assistant will be responsible for managing a variety of administrative tasks, such as answering phones, responding to emails, scheduling appointments, filing, maintaining records, and providing support for special projects and events. The ideal candidate will demonstrate strong organizational skills, the ability to handle sensitive information, and a commitment to delivering exceptional customer service.
Minimum Qualifications: - High School Diploma or GED Certification.
- Two (2) years of responsible clerical experience.
Preferred Qualifications: - Strong problem-solving skills, with a focus on identifying areas for improvement and offering suggestions.
- Experience working with Office Software (Microsoft Word, Outlook, and Excel) and the ability to learn new systems as needed.
- Strong verbal and written communication skills, with the ability to effectively answer questions, respond to emails, and manage sensitive information with professionalism and discretion.
- Modern office procedures, methods, and equipment including computers.
- Higher levels of education and experience as they relate to this position.
The Office Assistant job responsibilities include: - Answering telephones, and emails and assisting the general public, city staff, and officials; providing information on departmental and city policies and procedures as required; scheduling appointments as necessary;
- Providing efficient and courteous customer service to individuals contacted in the course of work; processing or referring questions, complaints, and needs as necessary;
- Collecting, processing, and distributing correspondence and other materials within the department;
- Filing documents and reports in an organized manner according to department specifications; organizing, filing and retrieving departmental or divisional records;
- Operating a variety of office equipment including computer, copy machine, fax or other equipment related to duties;
- Ordering and maintaining supplies for assigned departments.
- Assisting with special department events; performing related duties as required;
Working Conditions Depending on the assignment, positions in this class typically require touching, talking, hearing, seeing, grasping, standing, stooping, kneeling, crouching, reaching, walking, and repetitive motions.
Physical Demands Sedentary Work - Depending on assignment, positions in this class typically exert up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
