Description
Job Summary: Assists Public Art Manager with a wide variety of administrative tasks with the City’s Art in Public Places (AIPP) program as well as assist the Loveland Museum front desk with administrative duties. This position will work Monday - Friday with occasional Saturday shifts, and additional after-hours shifts as required by Museum.
The salary range for this position is
$20.67- $27.90 per hour with a hiring range of
$20.67 - $24.29, depending on qualifications and experience.

Essential Functions: - Provides administrative support including general word processing and data entry, timely maintenance and organization of files and records, inputting artwork maintenance records, preparing and processing financial documents and providing information regarding the City’s collection to the general public.
- Responsible for the overall administrative duties which includes routing City contracts, processing check requests, and preparing monthly financial reports.
- Assists with the management of the City’s public art files using collections management software and maintains artwork maintenance files. May also assist with updating the Museum artist mailing list for newsletters, press releases, calls for entries and other duties.
- Writes Visual Arts Commission meeting minutes and will assist with the preparation and distribution of the monthly meeting packet. Responsible for operating computer equipment and software for online communication with the public and projecting presentations during VAC meetings.
- Receives and answers inquiries. This position interacts with a variety of City personnel and contractors.
- Attends and assists all events, providing support to the Public Arts Manager with coordinating and implementing event logistics and other needs.
- Assist with public art competitions.
- Maintains press clippings and may assist with writing press releases, and other promotional materials. May design flyers, invitations, brochures, labels, and marketing materials using desktop publishing software (Publisher).
- Coordinates updates for the AIPP webpages with the department’s Graphic Designer and/or Marketing. May also write promotional copy and outline content as needed.
- Performs excellent customer service and public relations. Demonstrates good listening, verbal and written skills. Responds to problems and questions in a friendly, helpful manner.
- Covers during Manager’s absences, classes, vacation, and meetings.
- Museum front desk coverage, answering questions, assisting guests and providing customer support.
- Assists with membership program, database and reporting.
- Assists with the point of sale and other financial transactions and systems.
Other Job Functions: - Performs other duties as assigned.
Qualifications: Education: - High School graduate or GED required.
- Associate Degree preferred.
Required Experience: - 2 years progressively responsible administrative experience, with an emphasis on public customer service.
- 2 years intermediate to advanced skills working with Microsoft office products
Preferred Experience: - Experience with Past Perfect collections management software and/or knowledge of public art or Museum operations preferred.
- Prior experience within arts or related field preferred.
Knowledge, Skills, and Abilities: - Excellent organizational and task management skills.
- Basic computer understanding and knowledge of operating systems and presentation software.
- Knowledge of art and the positive impact artwork, in its many forms, has upon a community.
- General knowledge of the Loveland Art in Public Places Program.
- Ability to remain calm and productive in a job that often involves tight deadlines.
- Ability to learn, follow, apply and relay government guidelines, policies, rules and regulations when dealing with citizens and fellow employees.
- Working knowledge of basic mathematics, grammar, spelling, punctuation and vocabulary.
- Knowledge of and ability to operate a variety of standard office machines.
Physical Demands and Working Conditions: - Frequent minimal physical effort typically found in clerical work. Primarily sedentary, may occasionally lift and carry light objects. Walking and/or standing as needed and minimal.
- Frequent e xposure to routine office noise and equipment.
- Occasional e xposure to hazards typically found in general office environments where there is rarely to no exposure to injury or accident.
