Pay Range: $54,879 to $71,343/annually
Job Posting Closing on: Thursday, November 14, 2024 Workdays & Hours: FLSA Exempt position. Monday - Friday 8am - 5pm. Hybrid on-site work model available upon successful completion of initial probation; Some evening/weekend work required.

The Code Compliance Department is seeking a Senior Administrative Assistant to serve as the team lead for the department's Human Resource Coordinator (HRC). This position will oversee routine administrative and technical tasks to support daily operations, act as a liaison within the department, and manage special projects as needed.
We are looking for a critical thinker who can quickly adapt to changing situations. The ideal candidate will be proficient in payroll processing, highly organized, detail-oriented, and possess strong communication skills.
Minimum Qualifications: - Bachelor’s degree from an accredited college or university with major course work in public administration, business administration, human resources or related field
- Three (3) years of increasingly responsible administrative and fiscal management experience in support of a department, division or major service area,
- One (1) year in a supervisory or lead capacity.
- Valid Texas Driver’s License
Preferred Qualifications: - Experience handling Human Resources functions, including medical leave requests, payroll, workers' compensation, and financial reporting.
- Intermediate proficiency in Microsoft Office Suite (Outlook, Word, Excel), with strong experience in Excel creating pivot tables, linking data, and conducting analysis.
- Advanced knowledge of PeopleSoft (or similar ERP) with experience in position management and processing personnel actions.
- Strong communication skills, with an emphasis on customer service, documentation, and report preparation.
- Demonstrated adaptability and a proactive approach to managing HR challenges and tasks.
The Senior Administrative Assistant job responsibilities include: - Serve as lead HRC, provide support to the daily operations of Code Compliance Department including recruitment, onboarding, out-processing, and payroll
- Coordinates training needs for division/department to include creating and updating training material and conducting training sessions on applicable divisional and City processes.
- Managing and monitoring positions and vacancies; supporting recruitment efforts, onboarding and out-processing needs, preparing ePARs (electronic Personnel Action Requests) to manage personnel changes and updates in PeopleSoft (Human Capital Management System)
- Provide ad hoc reporting as needed; preparing vacancy analysis updates for management staff, processing badge order and access requests
- Respond to requests for information from supervisory staff, employees, or vendors; conduct follow-up research to retrieve answers and supporting information
- Performs other related duties as required
