PLEASE NOTE: The starting salary placement depends on qualifications and experience and is anticipated to be in the range of $4,841.00 per month to $5,200.00 per month.

About the Position The Associate Academic Advisor plays a vital role in furthering Cal State East Bay's strategic goals, vision, mission, and values as described in Cal State East Bay’s Future Directions Strategic Plan as well as with CSU-wide goals and initiatives. These outcomes are accomplished by delivering holistic, consistent, sophisticated and comprehensive academic advising services to students with majors and minors within the College of Education and Allied Studies. This position provides students with accurate, timely advising and evaluation of coursework as applicable to the completion of their major, general education, university graduation requirements and information on the credential and graduate programs. This position will also assist students in pursuing their educational and career goals through various steps such as career assessments, graduate school research, connecting with faculty advisors, and career services, etc. The advisor autonomously addresses and resolves student issues with evidence-based strategies and maintains student records to ensure they meet Title 5, CSU, and University degree requirements. They assist with academic petitions, guide degree progression, and work collaboratively with academic departments, the registrar, and other campus offices to tackle a variety of student challenges. Additionally, this role involves active participation in the development and execution of policies and strategic planning in the advising sphere, all aimed at promoting the success, persistence, and timely graduation of students within their specific college or department. This position supports the whole student by providing information and guidance with clarity and kindness.
This position is a team member of the College of Education and Allied Studies Student Advising Center and will work closely with the leadership of the CEAS student advising center in training new colleagues, facilitating orientation, and facilitating group advising/workshops, and supporting new freshman and transfer students.
Advising at the Concord campus or representation at events held at other institutions may at times be required.
Responsibilities Academic Advising:
- Provide in-depth academic advising to undergraduate students, with a focus on assigned caseload, covering general education, graduation requirements, college-based policies, and related procedures.
- Document appointments and interactions with appropriate notes in University designated systems.
- Lead initiatives for the development of academic plans and strategies tailored to individual student needs.
- Verify accuracy of academic records, such as transcripts or test credits. Determine need for equivalency requests and substitutions.
- Proactively assist students in the development of academic plans and those interested in the credential and graduate programs.
- Utilize extensive knowledge of academic policies to handle complex advising cases, offering strategic guidance to students.
- Problem-solve with students to improve students’ educational strategies such as effective study habits, time management skills, and supportive educational environments
- Act as a primary liaison to other college departments, centers, and offices across campus, collaborate closely with the College of Education and Allied Studies advisor leadership team which may include Associate Dean and Program Coordinators.
- Deliver or help facilitate workshops for students in the assigned department(s) within the College of Education & Allied Studies (CEAS), with a focus on preparing and reviewing students for employment, training, or application to subsequent degrees post-graduation.
- Support the onboarding and enrollment of new freshman and new transfer students with a focus on assigned caseload.
- Attend all campus-wide advisor training related to academic advising and teaching credentials.
- Be the liaison for the teaching credentials program the College offers and work collaboratively with other college advisors.
Academic Progress Oversight:
- Using available technology, monitor and assess students’ schedules and progress to ensure they are taking appropriate courses to progress towards their degree goals. Adjust students’ academic/education plan based on changing needs and challenges.
- Respond proactively to performance alerts and manage student cases with a focus on enhancing academic success and make appropriate referrals to campus resources.
- Oversee registration processes, contributing to the refinement and improvement of procedures.
- Upon transition to new advisor or graduation, complete review of academic records to ensure smooth transition to new department, advisor, or graduation.
Project Coordination:
- Assist in the development of college-based advising tools, outreach, and resources.
- Coordinate projects and outreach aimed at promoting timely degree completion, while maintaining detailed records.
Office Planning, Management, and Program Development:
- Represent academic advising at events for student recruitment and transition support.
- Enhance student services by strategically leveraging technology, identifying optimal uses for available software.
- Utilize technology tools to efficiently deliver and monitor all services and student information.
- Participate in outreach activities, establishing strong connections with community colleges and local high schools.
- Mentor and provide basic training to new advisors, enhancing the overall quality of advising services.
- Engage in professional development opportunities and contribute to the training of departmental staff.
Bay Advisor and Stellic:
- Utilize referral system in Bay Advisor to track transitions.
- Maintain accurate records in Bay Advisor and Stellic and gather data related to advising interactions.
- Attend Stellic and Bay Advisor training meetings.
- Maintain and process the change of major forms.
- Work collaboratively with other CEAS advisors in keeping them informed of issues with Stellic and/or Bay Advisor.
Minimum Qualifications Experience:
- The equivalent of two (2) years of professional experience in one of the student services program areas or in a related field.
- Experience should give evidence of competence and indicate the potential for further growth.
- A Master’s degree in a job-related field may be substituted for one year of professional experience.
Education:
- Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field.
- Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.
Knowledge and Abilities:
- Working knowledge of the practices, procedures and activities of the program to which assigned; general knowledge of the methods and problems of organizational and program management.
- General knowledge of research and interview techniques and of the principles of individual and group behavior.
- Ability to interpret and apply program rules and regulations.
- Use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements.
- Obtain factual and interpretive information through interviews.
- Reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data.
- Advise students individually and in groups on routine matters where required.
- Recognize multicultural, multi-sexed and multi-aged value systems and work accordingly.
- Establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned.

- Operate standard office equipment and software including Oracle's PeopleSoft, EAB, Adobe Sign, Google Education Suite, and Microsoft Office (Access, PowerPoint, Excel, and Word)
