Appointment Type This is a one-year probationary appointment.
Time Base Full-Time (1.0 FTE)
Work Schedule Monday through Friday; 8:00 AM to 5:00 PM
Anticipated Hiring Range $5,173 per month - $5,417 per month ($61,716 - $65,004 annual)
Salary is commensurate with experience.
Position Summary Under general guidance the Assignments Specialist will provide administrative and analytical work supporting the Student Housing program, specifically in the operational functions of the informational data flow contained in the database. The incumbent will lead the team responsible for the day-to-day functions related to analyzing, planning, organizing and reporting individual applicant and resident data to Housing, Dining & Conference Services (HDCS) staff members and University campus partners at large.
The Assignments Specialist will collaborate with the divisions’ shared service partners to ensure the efficiency and accuracy of the program’s occupancy management. Working with Facilitie Services (FS), Information Technology Services (ITS), Residential Life (ResLife) and other partners, the incumbent will formulate, assess and evaluate the impact of recommended and/or implemented policies, and directly participating in the operational activities of the program.
The Assignments Specialist is the primary liaison for special assignment groups in need of group housing and special needs for their programs. This includes accommodation request through Disability Program & Resource Center (DPRC), housing requests from Athletics, College of Professional & Global Education(CPaGE) and Guardian Scholars Program (GSP). In addition, the incumbent will be responsible for the housing administrative process as they relate to Res Life. Responsibilities include implementation of different programs and enhancements of systems/process in support to existing and emerging changes.
Position Information INFORMATION & DATA BASE MANAGEMENT
- Manage the quality, accuracy, and consistency of the data base to ensure information integrity
- Analyze, implement and coordinate the application processes to ensure an effective and streamline procedure
- Evaluate, recommend and maintain the StarRez application setup needs in relation to the application process
- Administer the wait list related to all application periods
OCCUPANCY MANAGEMENT
- Evaluate, develop and recommend solutions to current and emerging issues
- Produce accurate and current occupancy and inventory reports
- Create, maintain and update room roster reports and information that is readily usable
- Coordinate with the division’s shared partners (Res Life, FS, ITS, etc) and Employee & Family Housing (EFH) on operational activities
TRAIN & LEAD TEAM
- Lead work direction and ensure that deadlines are met
- Provide guidance in resolving issues
- Train staff on new and existing policies and procedures
POLICY & PROCEDURE
- Evaluate current business practices and procedures to ensure alignment with Res Life and other shared partners’ priorities
- Develop, design and implement realistic solutions to emerging issues
- Establish and manage relationships with HDCS staff, shared partners and university department/programs
- Research and recommend best practices

Minimum Qualifications Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
- Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
- Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
- Working knowledge of operational and fiscal analysis and techniques.
- Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
- Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
- Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
- Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
- Ability to train others on new skills and procedures and provide lead work direction
Preferred Qualifications - Bachelor's Degree from an accredited University or equivalent.
- Demonstrated experience working at a University
- Work experience as a professional in a University Housing program
- Demonstrated experience in StarRez, PeopleSoft (Campus Solutions) and Microsoft Office applications
- Demonstrative experience in customer service
- Excellent organization, time-management and problem solving skills
- Excellent communication, verbal and writing skills
Required/License/Certification Must have a valid California Driver’s license and can be certified to drive on State business.

Environmental/Physical/Special The incumbent will work in a shared environment within the residential housing community on the main SF State campus. This position may be required to work nights and/or weekends.
