PURPOSE: Under the general supervision of the Director of Extended Education Programs & Student Services, and with daily oversight by the Masters of Business Administration Program Associate Director, the incumbent performs moderately complex professional student services work. The incumbent provides services that support and enhance the student learning experience in the MBA
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following : Student Services: Coordinates all registration processes and graduation requirements for students. In collaboration with educational partners, communicates campus policies and procedures to students, identifies and assists in resolving student issues related to admissions, records and registration (including grades, GPA, drops, withdrawals, and leaves of absence) financial aid, GPA and graduation requirements, and transition to alumni status. Informs students of options and ramifications of grades, drops, withdrawals, and leaves of absence to help them make appropriate decisions. Runs AP/DQ process. Collaborates with student services departments (e.g., Admissions, Registrar, Financial Aid, Student Accts) to ensure services are working effectively in support of student success and to meet program goals. Works to identify and recognize program needs and works to develop and implement approaches that will meet the needs of the program in collaboration with the program director. Updates and maintains student and graduate data on AirTable; produces data and reports for program evaluation requirements.
Admissions: Coordinates the MBA program admission process with the program’s educational partner and program associate director. Collaborates with the admissions office for the admissions of applicants into the program. Works with students once admitted to build positive relationships with new students and facilitate their onboarding. Coordinates with partners to ensure effective student onboarding and retention. Carries out day-to-day assignments that contribute to the growth of the MBA program. Runs the pre-req process and sends communications to students from program directors. Updates and maintains applicant data on AirTable; produces data and reports for program evaluation requirements.
Special Events: Coordinates and promotes special events and activities to increase student success and retention and build public awareness of the program. Assists in coordinating activities with other campus departments. Plans and runs annual Graduation Celebration and Hooding Event.
Program development & maintenance: Assists with the development, monitoring, and maintenance of badging system and CATME, a team development and feedback tool.
Other Functions : Performs other job-related duties and special projects as assigned.
KNOWLEDGE, SKILLS AND ABILITIES : Working knowledge of the practices, procedures and activities of the program to which assigned; general knowledge of the methods and problems of organizational and program management. General knowledge of research and interview techniques; and of the principles of individual and group behavior.
Ability to: interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information
through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multi-sexed and multi-aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned. Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas Services Office.
MINIMUM QUALIFICATIONS : Education: Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.
Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A master’s degree in a job-related field may be substituted for one year of the professional experience.
PREFERRED QUALIFICATIONS/DESIRABLE EXPERIENCE Master’s degree preferred. Knowledge of, recruitment, admission, enrollment, advising, retention, graduation, and other student and administrative services that support and enhance student learning. Excellent customer service, information literacy, and critical thinking skills. Exceptional ability to communicate verbally and in writing in a professional, persuasive, and tactful manner. A sincere desire to assist students. Technical fluency with Microsoft Office Suite, Oracle-PeopleSoft/CMS baseline system; G Suite (Gmail, Docs, Drive, and Calendar); intranet drives; and internet browsers.

- Must possess and maintain a valid license to drive in the State of California, pass the Defensive Training Class, and be insurable under the University's liability coverage.
- May require occasional evenings and/or weekend work.
PHYSICAL ENVIRONMENT : Office environment with standard equipment and tasks. The position requires working at a computer and desk for extended periods of time. May require travel between campus offices and off-campus locations.
