Major Duties

Under the general supervision of the Associate Dean, the Assistant to the Associate Dean and Project Coordinator is responsible for the coordination of entire clerical and administrative support functions and the performance of administrative and programmatic work for the Associate Dean’s office and Project Rebound program. The incumbent provides high-level administrative support to the Associate Dean and, under the general supervision of the Director of Finance and Operations, provides comprehensive administrative support and operational support for Project Rebound.

• Assists with the effective preparation, screening, processing, tracking, and filing of electronic and paper documents and communications related to student program changes, grade changes, appeals, petitions, advisement, conduct, and late add/drops.
• Provides academic program support, including program office coordination, tracking, monitoring, coordinating, and compiling department or program budgets, assisting in program development and planning, and responding to or directing student inquiries.
• Coordinates all program-related procurement activities; collaborates with human resources and faculty members in support of Project Rebound programs and initiatives; coordinates office automation and events.
• Performs other duties as assigned.

Qualifications

• Equivalent to five (5) years of full-time, progressively responsible administrative or technical office management experience in an administrative capacity exercising independent judgment and leading the work of others.
• Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience.

Knowledge, Skills, & Abilities

• Thorough mastery of: office methods, procedures, and practices; and correct English grammar, spelling, and punctuation.
• Ability and specialized skills to: prepare letters, memos, and reports; transcribe minutes; make travel arrangements; analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions; apply judgment, discretion, and initiative in establishing priorities, providing follow-up and quality control.
• Ability to use judgment and discretion to act when precedents do not exist; understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
• Communicate effectively both orally and in writing; establish and maintain cooperative working relationships; effectively handle interpersonal interactions at all levels and highly sensitive interpersonal situations; operate standard office equipment and software.

Pay, Benefits, & Work Schedule

• Classification: Administrative Support Coordinator / 1035 / 2
• The anticipated HIRING RANGE: $4058 - $4621 per month, dependent upon qualifications and experience. The salary range for this classification is: $4058 - $6653 per month.
• HOURS: Full Time; 40 hours per week; Monday through Friday.
• This is a Regular position with a one-year probationary period.
• The position is currently hybrid (4 days in office, 1 day remote); however, this is subject to change based on student and/or operational needs.
